Your Shop Manager Payment account no longer shows one lump sum. It shows Current, Pending, and Total. Sellers panic when Current goes negative while Pending still looks full of sales—or when ads and labels seem to “steal” deposit money before fees from those sales show up.
Facts below are from Etsy’s Help Center on Fees and Taxes and How to Manage Your Payment Account (checked October 29, 2026). Confirm live numbers in your own Payment account. Full fee map: Etsy Fees in 2026: The Full Breakdown.
| Balance | What Help says it is | What hits it |
|---|---|---|
| Current | Eligible for deposit now | Cleared earnings, minus refunds you issued, shipping labels, and fees charged when you incur them (Ads, listing renewals, Plus/Pattern, etc.) |
| Pending | Not yet depositable | Recent sales still processing, funds in reserve, and the fees tied to those earnings |
| Total | Current + Pending | Snapshot only—deposits use Current, not Total |
Sale-tied fees (transaction, processing, ROF, Offsite Ads, applicable seller VAT/taxes) stay in Pending with that sale. When earnings clear, the sale’s net (earnings minus those fees) moves to Current together.
Real-time fees (Etsy Ads, shipping labels, listing/renewal fees, subscriptions like Etsy Plus) come out of Current when charged—even if your big recent orders are still Pending. That is why Current can go negative while sales look fine.
From How to Manage Your Payment Account:
Deposits are based on your Current balance, not your Total balance. If Current is negative or zero (or you have an amount due), you will not get a deposit until cleared earnings cover it.
Recent activities (past 60 days) have Total / Current / Pending tabs. Expand an order for buyer-paid amount, fees, taxes, net, and availability status. Older activity: monthly statements / CSV.
From What are the Fees and Taxes for Selling on Etsy? (“Fees tied to a sale”):
Buyer-paid sales tax/VAT remitted by Etsy is shown in the payment account but is not a cut from your listing price the same way seller fees are—it is collected and remitted.
When that sale clears, net earnings minus these fees move to Current together. You do not “lose” the sale fees from Current days before the sale itself clears.
Same Help articles (“Fees charged separately” / Payment account):
These are not waiting for a particular order to clear. Buy labels and run Ads while most of last week’s GMV is still Pending, and Current can dive below zero even though Total looks healthy.
If Total is negative at month-end, Help says you get an amount due on the first of the next month (email from Etsy). Autobilling / Pay now rules live in the Payment account article.
Assume USD listing and Payment currency, no FX, US processing 3% + $0.25, no Offsite on this order, no sales tax in the example. Numbers are illustrative—confirm your rates.
Order A (Pending): item $40 + shipping $8 = $48.
Sale-tied ~$4.81 stays with Order A in Pending until that sale’s net clears into Current.
Same day on Current: you buy $12 in shipping labels and spend $8 on Etsy Ads, and renew three expired listings ($0.60). That is $20.60 off Current now, while Order A’s ~$48 − fees is still Pending. If you had little cleared earnings, Current goes negative even though Total includes the pending sale.
When Order A clears, net (~$48 − $3.12 − $1.69 = ~$43.19, before any separate listing line) moves to Current and can cover the negative. Until then, no deposit from that sale.
With Offsite: if the order is attributed, Offsite 15% of order total (or 12% after the $10k rule; capped at $100) is also sale-tied—it stays Pending with the order, not as a surprise Current deduction the next morning like Etsy Ads.
Common mismatch:
New sellers: Help says funds are generally eligible about 14 business days after a sale (shop standing can change this). Established shops may see next business day. Bank detail changes can add a ~5-day security hold. Invalid card on file or incomplete tax/ID requirements can block deposits even when Current looks ready.
Cash-speed tools: Instant transfer fee (US beta rules) only moves from available Current, not from Pending.
Etsy’s legal Fees & Payments Policy can still describe transaction fees as deducted from your current balance as each sale occurs. The Help Payment account / Fees articles describe the newer model: sale-tied fees stay Pending with the sale until net moves to Current.
Sellers who reconcile from Policy prose alone may think fees were “taken early” or that their calculator is wrong. Practical rule: trust Shop Manager → Finances → Payment account balances and the Help articles linked above; treat Policy as the legal contract, but verify timing against Help + Recent activities. If your monthly CSV still disagrees with what you expect after fees, walk order by order—listing renewals and VAT-on-fees often sit on separate lines.
Canopio is a free one-order calculator (6.5% on item + shipping, processing, Offsite 12–15%), free listing score; rewrites $2.99/10 or $9.99/40; Shop Audit $9.90 one-time via Etsy OAuth (ranks listings worst margin first). Independent of Etsy. It will not replace Payment account timing—but it helps you price so Pending nets and Current burns don’t wipe the month.
Current is eligible for deposit now (cleared earnings minus real-time charges). Pending is not yet depositable: recent sales still processing, reserves, and the sale-tied fees grouped with those earnings. Total is Current + Pending. Deposits use Current only.
Per Help (Fees and Taxes): transaction fees (including shipping and gift wrap), payment processing, regulatory operating fees, Offsite Ads fees, and VAT or other applicable seller taxes stay in Pending with that sale’s earnings until the net moves to Current together.
Help says Current can show negative when real-time charges (Etsy Ads, shipping labels, listing/renewal fees, subscriptions like Plus/Pattern) plus refunds exceed cleared earnings. Pending sales and their sale-tied fees have not moved into Current yet. No deposit goes out while Current is negative or zero.
No. Offsite Ads fees are sale-tied: they stay in Pending with the attributed order’s earnings, then the net moves to Current when that sale clears. Etsy Ads (on-site) are different—they deduct from Current when charged.
Use Shop Manager Payment account and the Help articles on Fees and Taxes and Managing your Payment account. The legal Fees & Payments Policy page can still describe older timing (e.g. transaction fees deducted from current as each sale occurs). Price and reconcile from Help + your live balances, not Policy prose alone.
Help: new sellers generally have funds eligible for deposit about 14 days after a sale; established shops may see next-business-day availability depending on standing. Reserves and bank-change holds can keep money in Pending longer.
