Etsy Payment Account Reserve Explained: Why Part of Each Sale Stays Pending (2026)

You open Shop Manager → Finances → Payment account and notice a Payment account reserve section—or an Order in reserve badge on some orders. Part of each new physical sale seems stuck even after the usual Pending window. That second hold inside Pending is the Payment Account Reserve.

This guide explains what Help says a reserve is, how it differs from ordinary Pending and a bank-change security hold, how tracking can free money early, why Etsy places one, and how to plan cash float while it is active. Facts are from Etsy’s Help Center on What is a Payment Account Reserve? and How to Manage Your Payment Account (checked October 30, 2026). Confirm the percentage and holding time on your own Payment account—Help says both vary by account. For how sale-tied fees sit with Pending vs real-time charges on Current, see the sibling guide Etsy Pending vs Current Balance. Full fee map: Etsy Fees in 2026.

The short answer: what a reserve is

If a Payment account reserve is placed on your shop, Help says a percentage of funds from each new sale of a physical item is held and will not be available for deposit within the standard processing time.

Funds leave the reserve when:

  1. You add tracking, and Etsy can verify that tracking shows the order in transit; or
  2. If you provide no tracking, a default holding period passes (the period shown for your account).

Help displays your shop’s reserve holding time and percentage in the Payment account. Those numbers are account-specific—this article will not invent a fixed percent or day count.

Reserved funds are included in Pending. They are not a separate fourth balance you can deposit around.

Reserve vs ordinary Pending vs bank security hold

Three different holds get confused. Only one is the Payment Account Reserve.

HoldWhat it is (Help)What it covers
Ordinary Pending Recent sales still processing; sale-tied fees grouped with those earnings; deposits use Current, not Total Standard clearing for new/established shops (e.g. new sellers often ~14 days eligibility; established shops may see next-business-day availability depending on standing)
Payment Account Reserve An extra percentage hold on new physical-item sales when a reserve is placed Sits inside Pending; % and holding time vary by account; digital sales not reserved
Bank-change security hold After you change deposit bank details Help describes a separate 5-day security hold—not the same as a reserve

Sibling detail on fee timing: Pending vs Current. Instant payout (US beta) pulls only from Available for deposit, not reserved Pending—see Instant transfer fee.

Physical vs digital; tracking early release; 6pm ET

Digital item sales are not held in reserve. Ordinary Pending rules may still apply to digital orders; the reserve percentage does not.

For physical orders under a reserve:

Do not mark shipped before carrier drop-off. Without real tracking events, Etsy often cannot verify “in transit.”

Why Etsy places a Payment Account Reserve

Help frames reserves as marketplace protection: help you fulfill, and reduce the chance your Payment account goes negative—or your card is charged—after chargebacks, refunds, or other unexpected charges. Many sellers with a reserve may be receiving increased sales; reserved funds can buffer refunds on that growth.

Risk factors Help lists (not limited to):

Support cannot give the specific reason a reserve was placed. Plan from these factors and your Payment account display.

For most sellers, the reserve is removed within 90 days. It may be extended if there are fulfillment or policy concerns.

How to see a reserve (Shop Manager, Orders, CSV)

Notification: email + Shop Manager messages when a reserve is placed (and when status changes).

Desktop path:

  1. Shop Manager → Finances → Payment account
  2. Review the Payment account reserve section (visible only if you have a reserve)

Seller app: More → Finances → Payment account — holding time and percentage if a reserve exists.

Orders: open Orders; an Order in reserve badge appears next to orders that currently have funds held.

Payment account → Recent activities → Pending tab: find an order to see the amount held in reserve and when those funds are expected to become available. Expand an order for the Status of your funds section (available vs pending/reserve + expected dates).

Monthly statement CSV: Status column shows if the sale is in reserve; Availability Date estimates when the reserved portion becomes available to deposit.

What still charges from Current while reserved

While your account is in reserve:

A reserve does not pause Ads or labels. Heavy Ads + labels while physical GMV sits reserved in Pending can still push Current negative—same mechanic as Pending vs Current, with more of each physical sale stuck longer.

Sale-tied fees (transaction, processing, Offsite where applicable, ROF, seller VAT on fees) still follow Pending with the sale; they are not an extra “reserve tax.” Offsite context only: 15% under the $10k / 365-day opt-out threshold, 12% mandatory for life once you hit $10k, $100 cap, ~30-day attribution—Offsite explained.

Star Seller tip + ops hygiene checklist

Help’s “avoid a reserve in the future” list:

Important: Star Seller here is about preventing a new reserve placement, not about cutting the 6.5% transaction fee, processing, or Offsite. Do not treat Star Seller as a fee discount myth.

If you already have a reserve, Help says Etsy regularly evaluates whether it is still needed. Shipping within processing times, solid customer service, and good standing help demonstrate that a reserve is no longer needed. Status changes come by notification.

Cash-float planning + soft tools

A reserve changes when money is depositable, not which selling fees apply. Practical float:

  1. Read your live reserve % and holding time—do not guess.
  2. Budget materials, POD costs, and labels against Current; reserved physical slices stay in Pending until tracking (or the default period) clears.
  3. Use tracking Etsy can verify so release can hit 6pm ET that day.
  4. Use Order in reserve badges and Pending Availability Dates for supplier timing—not Total screenshots.
  5. Check one-order profit with the free Canopio calculator. If CSV timing and deposits disagree after a reserve stretch, a one-time Shop Audit ($9.90) via Etsy OAuth ranks worst-first friction (14-day refund; independent of Etsy).

While cash is slower, keep pricing honest: price for profit · listing fee every sale.

FAQ

What is an Etsy Payment Account Reserve?

If a reserve is placed, Help says a percentage of funds from each new sale of a physical item is held and is not available for deposit within the standard processing time. The percentage and holding time vary by account and are shown in your Payment account. Reserved funds sit inside Pending.

Do digital item sales get held in an Etsy reserve?

No. Help states that sales of digital items are not held in reserve.

How do I release reserved funds earlier?

Add valid tracking. If Etsy can confirm the tracking shows the order in transit (has shipped), reserved funds are immediately released. Funds become available at 6pm ET on the day they are released. If Etsy cannot confirm tracking for some carriers, the full holding period may still apply.

Can Etsy Support remove my Payment Account Reserve or tell me why it was placed?

No. Help says Support cannot give the specific reason a reserve was placed, and Support agents cannot remove a reserve. For most sellers the reserve is removed within 90 days, but it may be extended if there are fulfillment or policy concerns.

Does being a Star Seller stop a Payment Account Reserve?

Help’s avoid-future-reserve tips say: if you are already a Star Seller, a reserve will not be placed on your shop. That is about preventing a new reserve placement—not a fee discount.

While funds are in reserve, what still charges from Current?

Everyday charges—buyer refunds, fees, shipping labels purchased on Etsy, and Etsy Ads—still come out of Current. Funds held in reserve are included in Pending. If Current goes negative, reserved funds are applied as they are released. Your card is charged only if Current plus Pending still cannot cover the charges.
