A case opens. The buyer wants a refund. Your first question is usually not “who is right”—it is “does Etsy cover this, or does it come out of my Payment account?”
Etsy Purchase Protection for Sellers answers that for qualifying orders. It is not a guarantee that every dispute is free. On an eligible order, Etsy covers up to $250 USD (or the converted equivalent in your local currency) of the refund and charges you any amount above that. On an ineligible order, Help says you are responsible for the refund costs.
This guide is a seller-side checklist: what the program covers, eligibility (including the 48-hour Help reply), how the $250 cap works on high-ticket orders, and how to price for cash risk. Facts were checked against Etsy’s Help Center on October 20, 2026. For cases opened before May 7, 2026, Help points you to the older policy. Confirm the live wording in Shop Manager.
Per Etsy Help, “What is Etsy’s Purchase Protection for Sellers?,” the program may apply when:
| Situation | Help wording (summary) |
|---|---|
| Never received | Buyer never got the package (for example, lost in transit) |
| Late delivery | Item arrived 7+ days after the estimated delivery date window at checkout |
| Damaged | Item arrived damaged — first instance per calendar year |
| NAD claim when listing matches | Item matches listing photos and description, but the buyer claims it does not |
When the order is eligible, Etsy issues the refund—you do not refund the buyer yourself in that flow. You keep earnings from the sale to the extent the program covers the refund under the $250 rule.
Help is explicit: the program is not an insurance policy, warranty, or guarantee. Etsy decides, in its sole discretion, whether a transaction gets protection.
Two Help points drive pricing:
A $400 eligible refund is not fully free: Etsy up to $250, you the rest (~$150 in that illustration)—unless other coverage applies. Help recommends considering shipping insurance for orders over $250. The $250 figure is USD; Help uses the converted equivalent in your local currency.
Protection is automatic for qualifying orders—no signup—but eligibility is conditional. Per Help, orders are eligible when:
Help notes Etsy may use carrier tracking scans—not only “marked as shipped”—to confirm on-time shipping.
Process trigger: review starts after the buyer (1) contacts you through a Help request and (2) opens a case.
Customs delay: buyers owe customs/import charges where imposed on delivery. Late or never-received outcomes from buyer delay or refusal to pay those charges do not qualify; Help says sellers are not responsible for refunds in that instance (you may still refund at your discretion).
When you refund through Shop Manager, fee return rules differ—see Does Etsy refund your fees?.
When a full refund is covered by Etsy’s Protection Program, Etsy’s Payments Policy states that the Payment Processing Fee and other applicable fees (including transaction and Offsite Ads fees) will not be credited back to the seller. Even when Etsy covers the buyer’s refund dollars (up to $250), you may still keep the original fee stack. Confirm the live policy for your region.
US selling fees below frame what you already paid around an order—they are not Protection rates.
US organic stack (typical Etsy Payments): listing/renew $0.20; transaction 6.5% of item + shipping + gift wrap; processing 3% + $0.25 on total including shipping (and sales tax when charged on the listing).
Offsite Ads if attributed (Help verified today): 15% if the shop has never made $10,000 USD in any consecutive 365-day period (opt-out allowed); 12% and mandatory for life once it has; $100 per-order cap; click then purchase within 30 days.
Buyer paid $80. Eligible and under $250 → Etsy covers the refund under program wording. Separately check whether sale-based fees stay with you under the Protection fee note.
Refund $420. Eligible → Etsy up to $250; ~$170 charged to you. Without shipping insurance, that $170 is case cost—plus materials already gone and any fees that are not credited.
Same ticket, but late vs stated processing time. If found ineligible, you refund. Fee recovery follows ordinary refund rules—not the “Etsy covers up to $250 / keep earnings” path.
First damaged case of the year may qualify (if other rules pass). A second fails the “first instance” rule. Treat repeat damage as your cost.
Before you raise prices for case risk, confirm the fee stack on a good sale still clears. Canopio’s free one-order calculator applies US 6.5% transaction on item + shipping, processing, and Offsite Ads at 12–15%—no signup. Free listing score; optional rewrites $2.99/10 or $9.99/40. Shop Audit is $9.90 one-time via Etsy OAuth (ranks listings worst-first with suggested prices, 14-day refund)—no subscription. Most competitors stop at one order; Audit looks across the shop. Independent of Etsy; confirm rates on Help.
On an eligible order, Etsy covers up to $250 USD (or the converted equivalent in your local currency) of the refund. Any remaining refund amount is charged to the seller. Etsy issues the refund; you do not refund the buyer yourself in that flow.
Yes for the first $250 when the order is eligible. Help states Etsy covers up to $250 of the refund even if the order total exceeds $250; sellers should consider shipping insurance for higher-value orders to protect the rest.
Common reasons include missing eligibility steps (late ship, no valid tracking/Etsy label, no reply within 48 hours to the Help request), the item not matching the listing, shop not in good standing, or needing to claim third-party/carrier insurance first. Ineligible orders are the seller's refund responsibility.
Per Help: package never received (e.g. lost in transit); arrived 7+ days after the estimated delivery date window at checkout; arrived damaged (first instance per calendar year); or the item matches the listing but the buyer claims it does not.
Etsy's Payments Policy states that for full refunds covered by Etsy's Protection Program, payment processing and other applicable fees (including transaction and Offsite Ads fees) are not credited back to the seller. Confirm the current wording in your Shop Manager and statement.
No. Help says for cases opened prior to May 7, 2026, refer to the Purchase Protection policy in effect at that time.
Canopio is independent and not affiliated with Etsy, Inc. Examples are hypothetical and use US rates unless noted. Confirm current program terms and fees in your Shop Manager.
